Email Configuration

Your Account

Your email account has the username s9999999 where the 9999999 is your staff number. The password for your email account will be your Faculty of Science password. The email address of this account is s9999999@science.unsw.edu.au. . If you wish to use this mailbox for your emails, it is advised that you tell your local administrator that you wish to have your emails forwarded to this address.

When your account is created it is given an email quota of just over 800Mb quota. If you accumulate more email than that then you may not be able to send email using webmail or Outlook. Instructions on archiving email are given below.

Access Methods

There are a number of methods that you can use to access your science email box. For a fully featured experience which can include a server based address book and calendars, you may use Outlook or an Outlook compatible email client (Entourage, Evolution, etc.). Full functionality can also be obtained by using Outlook Web access as well.

Additionally you can use any IMAP compliant email client (Thunderbird, Eudora, Outlook, Outlook Express, Mail.app) to access the emails on the server. When you do this you are directly accessing any emails that is on the server and any actions that you take (moving, deleting, etc.) will be reflected back on the server.

You will be able to switch between these methods without causing problems. Bellow is a list of different accessing methods in more detail.

Web access

To access the server via the web, simply direct your browser to http://webmail.science.unsw.edu.au. You will then be prompted for a username and password. Simply enter your username as described above and your science password.

Once you have logged in if you are using Internet Explorer then you will get the same Address Book, Calendar, etc. functionality as if you were using Outlook on your desktop. Other browsers will work but with reduced Functionality.

Microsoft Outlook

Note that full Outlook connectivity is restricted to on-campus or use via the VPN.

IMAP Server Information

The IMAP protocol allows you full access to the emails folders that reside on the Exchange server from any location whether on-campus or off campus. The Exact configuration process depends upon the email client that you are using but the following information should be sufficient to allow you to set up a connection with out application that can be used along with Exchange.

We are currently using IMAPS, that is IMAP over SSL to ensure that traffic is encrypted.

Incoming mail server: mymail.science.unsw.edu.au. To access the server you need to use SSL
Outgoing mail server: smtp.unsw.edu.au if on campus, using UDUS or using VPN, the server of your ISP otherwise.

Please note that when using an IMAP client to send emails, the outgoing copy of your email may be stored on your local machine. if this is the case you should periodically copy the contents of your local sent mail folder to a folder on the server.

SPAM and Virus Checking

All incoming email goes through a spam filter before reaching getting to the mail sever. This filter does a number things to protect you from malicious emails.

  • All detected viruses and attempts to get you to visit a web page to steal your password are deleted.
  • All detected spam is tagged with the string ***SPAM*** is the subject line. This enables spam messages to be filtered so that they are automatically put into a Junk folder. Instructions on setting up a Junk filter are given below.
Setting up a Junk Filter

There are 3 ways of setting up up your SPAM filter to filter out email that has been tagged. Of the 3 methods, the first 2 are the best ones as any filtering is then done on the server.

All of these methods can be used to set up other rules to automatically classify email for you.

  • If you use MS Outlook on campus then any filter that you set by clicking on "Tools" then "Rules". Then create a new rule to move all incoming email with ***SPAM*** in the subject into the Junk folder. This rule will then be copied to the email server which will apply it whenever new email comes in whether you are logged in or now without needing to download the email to your email client.
  • If you do not use MS Outlook on campus then you can still set up a rule that runs on the server by connecting to webmail using Internet Explorer. If you log in to webmail with Internet Explorer then on the bottom left of your screen there is a tab called "Rules". Clicking on this allows you to set up a rule in a similar way to using Outlook.
  • If you are unable to configure server side filters using either of the 2 methods above then you should be able to set up a filter within your email client. The downside to this is that messages must be downloaded to your machine before they are put in a different folder which is slower and uses
Out of Office or Vacation Message

If you are on holidays or otherwise away from your computer for an extended period you may wish to turn on the Exchange "Out of Office Assistant". When this is turned people who send you an email will get a message on the first time that they send you an email.

To turn on the Out of Office Assistant you can either open up Outlook whilst on campus and then click on Tools -> Out of Office Assistant or use webmail. To turn on the assistant via webmail, log in to webmail at http://webmail.science.unsw.edu.au and then click on the Options link in the left hand pane.

Exchange Via VPN

When you connect to the UNSW network using the Faculty of Science VPN, your computer appears to the servers to now be on-campus. Whilst the connection is active you can use Outlook in exactly the same way as your desk at UNSW. to set up your client, simply follow the MS Outlook instruction above.

Archiving

All staff should Archive their mail periodically to reduce the load on the server. For further instruction to archive, click on links bellow for instruction to archiving with the your email client.
